Private Label Probiotics: Build the Brief Around Strains and Shelf Life

For a private label probiotic, request the strain identities, declared culture count and storage conditions together. You need to understand what the number on the bottle represents and how the finished product will meet its specification through shelf life. These details affect ingredient choice, packaging and distribution. Set the intended markets and customer routine before reviewing samples, so the manufacturer can assess the formula against the conditions in which retailers will store it and customers will use it.

Start with the exact product concept

Decide who will buy the product and how it fits the range. A capsule for an adult daily routine is a different project from a powder sachet or a combination with vitamins. State the planned serving, number of units per pack, sales countries and intended distribution route. If the brand requires ambient storage, say so at the start. Do not describe a refrigerated concept as an ambient product simply because room-temperature shipping is more convenient.

Choose whether the first SKU should be a focused formula or a multi-strain blend. A longer strain list is not automatically a better product. Every included culture needs an identity, a reason for inclusion and a plan for meeting the finished-product specification. Ask the manufacturer to explain what can be measured for each proposed formula. A brand should be able to tell a buyer exactly which organisms are in the product rather than relying on a decorative “microbiome blend” phrase.

Request strain-level documentation

Ask for the full scientific identification of each organism down to the strain designation where supplied, together with the supplier specification and relevant quality records. A species name alone can hide material differences between offers. Clarify whether a quoted viable count applies at manufacture or through the stated shelf life, and whether the number refers to the whole formula or individual strains. Put the agreed declaration and test basis into the production specification.

If the product includes a prebiotic fibre, vitamin or botanical, ask how it changes the serving, handling and labelling. A combination may make sense commercially, but it should not be used to blur which part of the product is being discussed. Request evidence for any proposed nutrient claim and a separate review of claims relating to microorganisms. The regulatory treatment of “probiotic” wording and related claims can vary by market, so the destination countries must be named.

Make stability a commercial decision

Discuss the manufacturer's stability approach before choosing the pack. Moisture, temperature and time can affect the finished product. Ask what storage conditions are assumed, what packaging barrier is proposed and how the intended label declaration is supported at the end of shelf life. A long best-before period is not a benefit if the product specification cannot be met under the conditions in which retailers and customers will keep it.

Review the product's real distribution path. Will it sit in a warehouse, move through a fulfilment centre or spend time on a retail shelf? Tell the manufacturer about the warmest likely conditions and the markets involved. Ask what temperature excursions mean for the proposed product and whether the manufacturer recommends a different pack or shipping procedure. Keep these assumptions in the quotation so a cheaper option is not silently based on a different storage model.

Evaluate the customer's routine

For capsules, assess unit size, number per serving and whether the proposed bottle gives the intended days' supply. For sachets, test whether the powder empties cleanly and can be prepared as directed without undermining the viability assumptions. A sample should use the actual or representative formula and pack where feasible. If the customer must follow an unusual storage instruction, decide whether that is realistic for the sales channel before approving production.

Record the approved strain list, quantities, packaging components, label version and storage conditions. A later supplier substitution is not a small administrative edit if it changes the organism or the stability evidence. Ask how change control and reorders are handled, and when the brand will be asked to approve a new material. That protects the continuity of a product customers may take repeatedly.

Keep the marketing copy within the evidence

Include storage information in the retailer onboarding materials as well as on the bottle. A product specification is less useful if the fulfilment team never receives the conditions it assumes during transport and warehousing.

Do not equate a high culture count with a guaranteed health result. In the EU, nutrition and health claims are subject to authorisation and conditions of use. Proposed pack text, website descriptions and retailer listings need a market-specific review before publication. Avoid copying a competitor's language, especially where the legal status of a term or claim differs by country. The brand can explain exactly what the product contains without inventing an effect it cannot substantiate.
