How to brief your private label supplement manufacturer

Turn a product idea into a useful manufacturing brief: define your customer, format, formulation priorities, packaging and commercial requirements before asking for a quote.

Start with the customer and the occasion

A productive conversation with a supplement manufacturer starts with a clear product idea. Instead of asking for a catalogue and choosing whichever formula looks promising, describe who the product is for, when they will use it and how it should fit your range. A daily powder used at home presents a different brief from an individually packed product carried to work or the gym.

Write a short statement that connects the audience, format and experience. For example: a vanilla-flavoured protein powder in a resealable pouch for customers who value an easy-to-mix everyday shake. This is a development direction, not a finished specification. It gives both teams a practical starting point and exposes the decisions still to be made.

Separate essentials from preferences

List the requirements that define the product, then distinguish them from ideas you are willing to explore. Ingredient preferences, serving size, flavour direction, excluded ingredients and intended sales markets belong in this conversation. If an existing product inspires you, explain which attributes matter rather than asking for an undefined copy.

A reference sample can help communicate sweetness, texture or flavour intensity. Describe what you would keep and what you would change. Ask which requirements can be addressed through an existing formulation and which would require custom development. Make room for technical feedback: a preference that looks simple on paper can affect taste, processing or packaging choices.

Make the commercial brief specific

Share your target order quantity, preferred pack size, budget assumptions and intended launch window. If these are estimates, label them as estimates. They still help the manufacturer frame a relevant discussion. Request the minimum order quantity for the actual formula and pack combination, rather than relying on a general headline figure.

Ask what the quotation includes. Development work, samples, packaging components, artwork preparation, testing and transport may need separate clarification. A useful comparison records the same scope for every proposal. A lower unit price is difficult to interpret when one quotation includes work that another leaves outside the offer.

Design the first encounter

Think through the product as your customer will handle it. How will they open it, measure a serving, prepare it and close or dispose of the pack? For powders, discuss preparation conditions such as the intended liquid and serving method. For a drink, describe the taste and mouthfeel you want at the expected serving temperature.

Bring packaging into the brief early. A jar, pouch or stick changes the experience as well as the artwork space. Ask for the applicable packaging specifications before finalising design files. Confirm what needs to be checked for the destination market with the appropriate specialist; a pleasing mock-up alone does not establish that the product is ready to sell.

Agree the next decision, not just the next meeting

Close the initial discussion with a list of open questions, the information each side will provide and the next approval point. That could be a formulation proposal, packaging options or a sample round. Ask what you should evaluate and how to return feedback so the next iteration addresses specific issues.

Your brief does not need to be perfect before you contact a manufacturer. It needs to be clear enough to move the conversation forward.
